What is SmileID?
SmileID is Inn-Flow’s facial recognition feature integrated into the time clock.
It captures a picture of the employee clocking in or out and compares it to the profile on file to ensure the correct individual is using the system.
This helps prevent someone else from clocking in or out on a worker’s behalf.
Why was SmileID Implemented?
SmileID protects both the employer and the employee:
- Ensures accurate timekeeping tied to the actual person on shift.
- Reduces the risk of wage theft or time fraud (such as buddy punching).
- Provides workers with the assurance that no one can punch them in or out without their knowledge.
What data does SmileID collect?
SmileID captures a photo at the time of each punch-in or punch-out.
This image is only used for real-time facial comparison to verify identity.
It does not track employee location, behavior, or activity beyond time punches.
How is SmileID data stored and protected?
SmileID data is encrypted at rest and securely stored following industry best practices.
We comply with all relevant privacy and biometric data laws, including state-specific requirements like Illinois’ Biometric Information Privacy Act (BIPA) where applicable.
We do not sell, share, or use the data for marketing, monitoring, or any non-timekeeping purposes.
Do employees have to give consent?
Yes, we work with employers to ensure clear, transparent communication with employees.
In jurisdictions where required, explicit consent (opt-in) is gathered before activating SmileID. This can be turned on at the request of hotel management.
We encourage open discussion with workers so they understand the limited purpose and benefits of the system.
Does SmileID unfairly monitor employees?
No.
SmileID is only active at the moment an employee uses the time clock.
It does not track workers throughout the day or monitor their activity, productivity, or movements.
What if SmileID makes a mistake?
SmileID is built with high-accuracy facial matching, but we recognize no system is perfect.
If a worker experiences a failed punch or recognition error, there are manual correction workflows available to ensure they are credited fairly for their worked time.
What if our union objects to biometric timekeeping?
We understand and respect union concerns around privacy and technology.
We are happy to provide detailed documentation, walk through our compliance approach, and partner with customers to address questions.
Our goal is not to punish or surveil but to protect employees from fraudulent time entries and ensure everyone’s hours are properly recorded.
