What is SmileID?

SmileID is a security feature that uses a quick photo of your face when you clock in or out, helping ensure that only you can clock in for yourself. It prevents someone else from clocking you in or out without your knowledge.


Why am I being asked to complete a biometric consent form?

We are committed to transparency and compliance with privacy laws. Before using SmileID, we ask for your consent to collect and use your facial image for identity verification at the time clock. You will see a one-time consent form appear on your next clock-in.


Do I need to consent again after my first consent?

No. You only need to provide biometric consent once. After your consent is recorded, you will not be asked to consent again on future clock-ins.


What happens if I don’t consent?

If you do not consent, you will not be able to use SmileID for clocking in or out. Your manager or HR representative will work with you to discuss alternatives or next steps based on your workplace policy.


Is my photo stored permanently?

No. Photos are stored only as long as necessary to verify your identity and fulfill timekeeping records. They are secured and managed according to applicable data privacy laws and company policies.


Will my photo be used for anything else?

No. Your photo is used solely for verifying your identity when clocking in or out and is not used for any other purpose.


Who can access my biometric data?

Only authorized personnel responsible for payroll and timekeeping administration can access biometric data. This data is secured and handled in compliance with applicable privacy laws and company policies. Your biometric data will not be shared outside of the organization or used for any unrelated purposes.


Is this technology compliant with privacy laws?

Yes. SmileID is designed with compliance in mind, including laws like the Biometric Information Privacy Act (BIPA) where applicable. Consent is a key part of this compliance.


Can biometric consent be turned off?

No. Biometric consent is a transparency and legal requirement. Disabling consent would violate compliance standards and privacy laws. Consent is mandatory for use of SmileID.


How long will it take to complete the consent?

Less than a minute. You simply need to read the consent text and tap to accept.
