How to Download Payroll in the Current Export Format

Overview 


Inn-Flow now offers the ability to download a previously exported payroll file using your current export format and code mappings. This is helpful if you've made changes to your mapping or payroll provider settings and want to regenerate the file for reference or re-upload.

 

 When to Use This Feature 

  • You want to regenerate a past payroll export using updated mappings.

  • You need to download payroll without triggering a re-export.

  • You’re preparing files to manually upload to your payroll provider.

 

 How to Download Payroll in the Current Format 

  1. Navigate to Labor → Payroll.

  2. Select a pay period that has already been exported.

  3. Click the Triple-dot menu (⋮) next to the exported payroll record.

  4. Select Download Payroll from the dropdown menu.

    

         If this option is not visible, either:

  • The payroll has not yet been exported, or
  • The hotel is using a direct payroll integration, which disables this option.

 

 How It Works 

  • The file will be generated in Excel (.xls) format.

  • It uses your hotel’s currently selected export format and export code mappings, regardless of what was used during the original export.

  • This action does not trigger a re-export, send data to a provider, or modify any payroll history.

  • Any system validations or warnings (e.g., unapproved days, overtime alerts) are bypassed—this is a clean file-only download.

 

 Important Notes 

  • Only available after payroll is exported.

  • Uses current configuration. If you’ve changed export mappings or formats since the original payroll was processed, those new settings will be reflected.

  • Not available for integrated payroll accounts. If your hotel uses an automated payroll provider integration (like Netchex or Paychex), this feature will not appear.
