Overview
Inn-Flow allows you to export payroll data in a variety of provider-specific formats (e.g., Netchex, Paymaster, Paychex). This ensures your payroll data is ready to upload without the need for any additional formatting.
This article walks you through selecting a payroll export format, mapping pay codes, and generating a file tailored for your payroll provider.
Step 1: Select the Payroll Export Format
Navigate to Labor Management → Payroll Processor.
Locate the hotel(s) you're configuring and locate the Payroll Export format column
From the Payroll Export Format dropdown, choose your desired provider format (e.g., Paymaster, Netchex, Paychex).
Your changes will save automatically.
The selected export format determines which columns and formatting are used when exporting payroll data.
Step 2: Map Export Codes to Inn-Flow Pay Codes
After selecting an export format:
Go to Labor → Payroll Processor → Payroll Export Code Mapping.
Select the matching export format from the top of the page.
Map your internal pay codes (e.g., Regular, Overtime, Bonus, Tips) to the provider's required export codes.
Only pay types that are mapped will appear in the export. Unmapped items will be excluded or may trigger validation errors depending on the provider.
Step 3: Export Payroll
Once setup is complete:
Go to Labor Management → Payroll Page.
Select your desired pay period and click Export.
The export will generate a file (.xls or .csv depending on the format) using the selected structure.
Notes & Best Practices
Ensure that each required pay code is mapped before exporting. If a code like REG or OT is missing, the related pay data will not be included.
Most formats require specific headers or formats. If you're unsure, check with your payroll provider or review any documentation they’ve provided.
If your provider allows for import by Employee ID or SSN, make sure this data is populated in the employee’s User profile.
