Transitioning to Agilysys STAY PMS (Power of M): Interim Guide for Daily Activity Entry

Overview 

If your hotel is transitioning from FOSSE to the new Agilysys STAY PMS system (part of the “Power of M” transition), this article will help you keep your Inn-Flow Daily Activity Entry up to date during the transition period. 

What you need to know: 

Inn-Flow is building an automated integration with Agilysys STAY, targeted for release in early May 2026. 

Until then, your Daily Activity Entry will need to be updated manually or via template upload. 

This is a temporary process. Once the integration is live, your daily import will be fully automated again. 

 

What Changed 

Your previous PMS (FOSSE) was integrated with Inn-Flow, which automatically imported your night audit data into Daily Activity Entry each day. When your hotel transitions to Agilysys STAY, that FOSSE integration will stop working because the new system generates reports in a different format. 

Inn-Flow is actively developing the new integration to support this. Until it's released, you'll need to enter your daily activity data using one of the manual methods described below. 


Why This Matters 

Daily Activity Entry is the foundation of your financial reporting in Inn-Flow. It drives your Daily Flash Reports, revenue tracking, trial balance, and downstream accounting. If daily activity is not entered, your financial reports will show gaps or inaccurate data. 

It is important to enter your daily activity every day, even during this interim period, to avoid falling behind on your financials. 


What You Need to Do 

Step 1: Notify Inn-Flow Support on Your Cutover Day 

On the day your hotel switches from FOSSE to Agilysys STAY, contact Inn-Flow Support so we can update your PMS configuration in our system. This is a required step. Without it, our system will continue expecting FOSSE-format data. 

  • Email: support@inn-flow.com 
  • Include: Your hotel name, entity code, cutover date, and confirmation that you have switched to Agilysys STAY. 

Step 2: Enter Daily Activity Manually 

You have two options for entering daily activity during the interim period. Choose whichever works best for your workflow. 

Option A: Direct Entry in Inn-Flow 

This is best for users who prefer to enter data directly from their PMS reports each morning. 

  • Log in to Inn-Flow and navigate to Accounting > Daily Activity Entry. 
  • Select the date you are entering data for (typically the previous business day). 
  • Open your Agilysys STAY reports. You will need figures from the following reports: 
  • Trial Balance Report - for your revenue entries 
  • Detailed Flash Report - for occupancy, ADR, RevPAR, and room statistics 
  • Revenue by Market Segments with Groups Report - for revenue broken down by market segment 
  • Enter the corresponding figures into each field in the Daily Activity Entry screen. 
  • Verify that your entries balance (debits should equal credits) and click Save. 

 

Tip: 

Run your Agilysys STAY reports after the night audit completes. This ensures you have the most accurate data for the previous day. 

 

Option B: Template Upload 

This is best for users who prefer to work in a spreadsheet or need to enter multiple days at once. 

  • Navigate to Accounting > Daily Activity Entry. 
  • Click the Import button. 
  • Click Export Template to download the template file. This template is pre-formatted with your hotel's account structure. 
  • Open the template and fill in the daily figures from your Agilysys STAY reports. 
  • Save the completed template file. 
  • Return to Accounting > Daily Activity Entry > Import. 
  • Click Choose Files, select your completed template, and click Upload. 

 

Important: 

Make sure your template data matches the correct dates. Uploading data for the wrong date will overwrite existing entries. 

 

Where to Find Your Agilysys STAY PMS Reports 

The reports you need are available in Agilysys STAY under the Dynamic Reports section. Here are links to the Agilysys documentation for each report:

Use manual entry or template upload to keep your Daily Activity Entry current. Contact Support on your cutover day if you haven't already. 

Early May 2026 

Inn-Flow releases the Agilysys STAY integration. Your Customer Success Manager or Support will help you configure the automated import. 

After Integration is Live 

Schedule your three Agilysys STAY reports (Trial Balance, Detailed Flash, Revenue by Market Segment with Groups) to send as CSV files to your Inn-Flow import email address daily after night audit. Inn-Flow will provide an integration guide with detailed setup instructions.
