Editing Room Revenue in Operational Budgets 2.0

This guide explains how to configure room revenue within your property budget, including occupancy rates, segmentation mix, and additional revenue.


Getting Started

  1. Navigate to Operational Budgets 2.0
  2. Open the budget you’d like to edit by clicking "View"
  3. By default you will land on the Room Revenue Tab
  4. Optional: You can edit your in-line comparisons by selecting the filter at the top left of the page to help guide your budget or remove them completely.
    1. Last Years Actuals
    2. Last Years Budget


Total Occupancy


Total occupancy is where you determine the percentage of rooms you anticipate selling for each month of the year.


Configure Total Occupancy Percentage

  1. Input your total occupancy percentage for each month (this can not be greater than 100%)
  2. The system will automatically calculate total rooms sold based on:
    • Your property's Total Room Count (Set in Administration > Entities > Select HID > Rooms/Locations Tab)
    • Number of days in each month
    • Your Occupancy Percentage


Keep in Mind: ADR, RevPAR, and Total Room Revenue will not calculate until the Segmentation Mix is completed.


Segmentation Mix


Segmentation Mix is where you determine the occupancy percentage and ADR for the segments you want to track. This allows us to calculate the RevPAR, ADR, and Total Room Revenue in the Total Occupancy section.


Important Segmentation Rules

  • Total occupancy across all your tracked segments must equal 100% for each month. You do not need to input a value for each segment just the ones you want to track. You can see your running total in the header and footer of the segmentation mix table.
    • For example, if you track 4 segments then your occupancy percentage for each must equal 100% for each month.
      • Jan.
        • Segment 1 = 25%
        • Segment 2 = 25%
        • Segment 3 = 25%
        • Segment 4 = 25%
        • TOTAL = 100%
      • Feb
        • Segment 1 = 40%
        • Segment 2 = 20%
        • Segment 3 = 20%
        • Segment 4 = 20%
        • TOTAL = 100%
    • If you don’t track by segment you can select one and make the occupancy percentage 100% and add your ADR. (Caution: This will reflect on reports)
  • You can track segments differently across each month as long as the total across the tracked segments equals 100% for the month.
  • Each segment represents a portion of your total occupancy.
  • Segments might include: Corporate, Leisure, Group, Government, etc.


Configure Occupancy Percentage for your segments

  1. Input the occupancy percentage for each segment by month. (This can not be greater than 100%)
    1. You can track your occupancy percentage total across the segments in the header of the table.
      1. If your total is below or above the required 100% it will show the count in red as X / 100
      2. If your total equals the required 100% it will show the count in green as 100/100


2. Input the ADR (Average Daily Rate) for each segment by month.



Review Automatic Calculations

Once your segmentation is complete and each month totals 100%, the system automatically calculates:

  • Blended ADR for each month (weighted average across all segments)
  • RevPAR for each month
  • Total room revenue for each month


Additional Room Revenue

Beyond base room rates, you can track additional room revenue COAs such as:

  • Pet fees
  • Smoking fees
  • Resort fees
  • Other ancillary charges


To add additional room revenue:

  1. Scroll to the Additional Room Revenue section
  2. Click on the revenue row you want to configure
  3. The By Period Factor Method slide-out panel opens:
    • You can enter a total annual amount:
      • The system automatically divides this evenly across all 12 months
    • Or you can select to customize each month individually.


Tips for Success

  • Align segments with your property management system categories
  • Consider seasonal variations in your mix percentages
  • Use the in-line comparisons to review historical data to form realistic projections
