Preventative Maintenance (PM)

What It Is 

Automated scheduling system for recurring maintenance tasks. 


Why It Matters 

  • Prevents costly breakdowns 
  • Extends asset life 
  • Meets compliance/brand standards
  • Reduces emergency repairs 



How It Works 

  • Build ProceduresCreate task checklists. 

  • Location-based (general use) 
  • Asset-based (specific equipment type) 



To begin a New Preventative Maintenance schedule, navigate to the Manage tab, and click on New Preventative Maintenance. 



  1. Create Schedule: 

  • Fill out the required fields, such as:

  • Name, description 
  • Frequency 
  • Locations 
  • Procedures 
  • Start date (optional end date) 


Note: Locations and Procedures must be created before being included in a Preventative Maintenance Schedule.

   

        Track & Complete: System generates recurring instances. 

  • Users complete tasks or mark skipped (must provide reason). 

                Past instances can be reviewed in the schedule detail view. 



Best Practices 

  • Start with 3–5 schedules (monthly HVAC, quarterly guest room checks). 
  • Stagger start dates to balance workload. 
  • Use location-based procedures unless highly asset-specific. 
  • Skipped PMs remain visible for compliance history. 


FAQs: 


Can I edit a Preventative Maintenance schedule after launch? 

    Yes, minor changes can be made, but new schedule would be needed for major edits. 


Where do past cycles live? 

    In Active → Date Selector; History section only for ended schedules.
