Work Orders

What It Is 


A digital tracking system for maintenance requests and repairs. This feature replaces paper slips, text messages, or verbal requests with trackable, assignable tasks. 


Why It Matters 

  • Centralizes all maintenance requests 
  • Improves accountability with history logs 
  • Provides real-time updates and notifications 
  • Ensures faster response to guest-facing issues 


Creating a Work Order 

  1. Go to Facilities > Work Orders. 

  1. Click New Work Order. 


  1. Enter required fields: 

    • Title (short, descriptive) 
    • Description
    • Priority
    • Location (guest room or common area) 
  1. Optional: 

  • Asset 
  • Attach photos/files 
  • Assign directly to a technician 
  1. Click Add Work Order to Save. Check the box beside "Create another work order" if you would like to continue making more Work Orders. 


Priority & Response Times Suggestions 

  • Urgent (e.g., burst pipe, HVAC outage in summer) → immediate response 
  • High (guest-reported issue, elevator down) → same day 
  • Medium (non-urgent repair, cosmetic issues) → within 48–72 hrs 
  • Low (future upgrades, minor issues) → as resources allow 


Editing an Existing Work Order


On the Work Orders page, you are able to view a list of work orders. Details include the Location, Status, Due Date, Priority, and the User who is assigned. At the top of the page, you can filter the list by the User assigned, Tags, Priority, Status, or Location. Use the search bar if you would like to display something specific.



Click on a Work Order to open the slide-out. Within the slide-out, you can add or edit the information, and update the status.



Best Practices 

  • Use short descriptions for simple issues, detailed notes for complex problems. 
  • Attach photos for clarity (before/after). 
  • Use @mentions in comments to notify staff. 
  • If dependent on another repair, mark On Hold and explain dependency. 


Notifications 


Users will receive a real-time push or SMS when: 

  • A work order is assigned to that user
  • The user has been @mentioned in a comment
