Overview

This article explains how to create partial payments on both the Invoice Approval page and the Payment page within our accounting software. The ability to create partial payments on the Invoice Approval page is a new feature, while partial payments have already been supported on the Payment page. This enhancement allows users to manage cash flow more effectively, secure early payment discounts, and maintain better vendor relationships by making partial payments before an invoice is fully approved. 


Prerequisites

  1. Users must have access to Invoice Approvals within Administration > Roles and Permissions.

Step-by-Step Guide


Step 1: Navigate to the Invoice Approval Page

  1. Log in to the system with your user credentials.

  2. From the main menu, navigate to the "Accounting" module.

  3. Select "Invoice Approval" from the Accounts Payable section.


Step 2: Select Partial Payment Option

  1. On the approval page, find the invoice you want to partially pay.

  2. Click on the triple dot menu option next to the invoice.

  3. Select “Partial Payment” from the dropdown menu.

Step 3: Enter Partial Payment Amount

  1. A dialogue box will appear prompting you to enter the amount for the partial payment.

  2. Enter an amount less than the total invoice amount.

  3. The "Confirm" action button will turn green once a valid amount is entered, 

    otherwise, it will turn red and the confirm button will be inactive, as shown below.



Step 4: Confirm Partial Payment

  1. Click the "Confirm" button to process the partial payment.

  2. The approval page will refresh, displaying the partial payment invoice and the originating invoice.

  3. The invoice number will update to indicate partial payments (e.g., -P1, -P2, etc.).





Step 5: Review Split Invoices

  1. Both the originating invoice and the split invoice will be visible on the approval page.

  2. The split invoice will follow the standard approval rules and require appropriate approvals.



Note: Partial payments can be processed using ePay, Check, M-ACH, and Credit Card payment types.
