Getting Started with Onboarding

Modified on Tue, 13 Oct at 3:40 PM

Overview

Onboarding is a guided setup area inside Inn-Flow that walks you through what your properties need before you go live. You’ll find Onboarding in the left-hand navigation menu. While you’re still setting up, it’s also the page Inn-Flow opens on when you log in.

Instead of filling in a workbook and emailing it back and forth, you enter your setup information directly in Inn-Flow, at your own pace. Your Implementation Specialist can see what you’ve entered as you go, so your training calls become a review of real information rather than a data-collection session.

Who can use it

Anyone at your organization with an Inn-Flow login can see the Onboarding page. What each person can do there depends on their role. Someone without permission to create bank accounts will still see that task, but won’t be able to complete it.

Tasks stay visible to everyone, even when they’re greyed out, so your whole team can see what’s left and who needs to pick it up.

How the page is organized

Your setup is grouped into two cards:

  • Setup Your Team — Roles & Permissions, Users, Special Permission Users

  • Get Your Accounting Ready — Chart of Accounts, Vendors, Bank & Credit Card Accounts

Each card shows how far along it is, like 1 of 3 steps completed. You can collapse a card with Hide Details to focus on one area at a time.

At the top of the page you’ll see your overall progress, your deadline, and your next training date. Your implementation specialist sets both dates. Progress updates as you work — you don’t need to refresh.

How to mark a task done

This is the part worth understanding before you start.

Each task has a circle to the left of its name. An empty circle means the task isn’t finished. A green checkmark means it is.

To mark a task complete, click the circle. It turns into a green checkmark. That’s all there is to it - there’s no separate save button to press at the end, and no button hidden inside the task.

Saving and completing are two different things. Your work saves as you go, so nothing is lost if you stop partway. But the task stays open until you click the circle.

Click Edit to open a task and work on it. Once a task is complete, that button changes to View, because finished tasks are read-only.

Changed your mind? Click the green checkmark again. The task reopens so you can edit it.

Under each task you’ll see who touched it last — Last edited by while it’s still open, and Completed by with the date once it’s done.

Example: You open Users, add eleven of your fifteen staff, then get pulled away. Your eleven users are saved. The Users task still shows an empty circle until you come back, add the rest, and click the circle.

Where to start

Tasks appear in a recommended order, and you can mostly move around freely.

There’s one rule: finish your chart of accounts before you set up bank accounts, credit cards, or vendors. Everything financial builds on it.

Beyond that, work in whatever order suits you. Setting up roles and users early is worth doing, because that’s what lets you hand parts of the setup to the right people.

Asking a question partway through

Next to your tasks you’ll find two tabs: Comments and Activity Log.

Use Comments for anything about your setup. It stays attached to the onboarding record instead of getting lost in an email thread. You can @mention colleagues to bring them in. Inn-Flow staff appear with an Inn-Flow badge, so you always know who you’re talking to. The tab shows a count when something new comes in.

The Activity Log shows when tasks were completed or reopened, and by whom. It’s useful when several people are working on setup at once.

Handing a section to someone else

Different parts of setup usually belong to different people. Your controller knows the Chart of Accounts. Your GM knows the property details.

There’s no “assign this to someone” button yet. To hand over a section, make sure that person has a login and the right role, then tell them it’s theirs. Setting up your roles and users first makes the rest of onboarding much easier to divide up.

What your Implementation Specialist handles

Some things aren’t on the Onboarding page, on purpose:

  • Setting up your account and properties in the first place

  • Connecting your property management system and mapping your revenue codes

  • Importing your historical data

  • Your deadline and next training date - you can see them, but only your specialist can change them

If something you expected isn’t there, it’s most likely on this list. Ask in the comments.
