In the Reports page, you can customize which reports appear on your page by using the Report Gallery located on the top right of the page.

In the Report Gallery, you can find the report you need by locating it within the page, or by using Search on the top left.

To add a report to your main report page, click the Add button.

Then, give the report a name and select Save.

Once added, you’ll find this report very easily from the main Reports page! 



 

IF PRO TIP: Adding reports to your customized reports page allows for a much faster report workflow. No need to scroll through all of the available reports anymore – save your favorites here! You can always run these other reports anytime in the Report Gallery, but now Inn-Flow allows you to save your favorites for a much faster report experience!

From within the Report Gallery, to run a report, click the Run Report button:

Then, depending on the report, you’ll have different options appearing on the left:

Once your selections are made, click Run Report:

 You can also Schedule this report at the same time by selecting the button on the top right:

Once you select Schedule, you can give this report a Name and select the First Run Date.

Once completed, complete the Scheduling portion.

IF PRO TIP: Most reports should run as of the Prior Day of Run Date. 

 

Then, select the Distribution Policy:

Typically, you will always choose Restricted. What this means is, only the users with access to those hotels will see their hotels’ information. For example, if I setup a report and select 10 hotels, and send this to the General Managers, each General Manager will only receive their information, whereas a user with multiple hotel access will receive a different report.

Select the Hotels and the Report Parameters:

The final step is selecting who will receive this report. You can either select per Role Permission, or per User 

 

Selecting per Role Permission will send it to ALL users with that permission. 

 

Selecting per User will send it to those specific users. 

 

IF PRO TIP: We recommend only sending per role permission OR per user. If you select Role Permission AND add users, there’s a chance that users will receive the same report twice. 

 

IF PRO TIP: We recommend strategizing the scheduling of reports. Sending too many reports on a daily basis can get overwhelming, and they lose importance. Whereas only sending them weekly or twice a week may be a better option. To set it up twice a week, you’ll use the same setup but choose a different Report Start Date (once for each day of the week).

 

There are also reports that have multiple different versions of the report, like the Labor Summary Report.

By selecting the Expand Versions box, you then see all of the different versions available.

Now I can add a specific version of the report to the My Report page. Let’s say I want to save the version for Labor Summary with Overtime At Risk to my favorites. Click the Add button for that version.

It now appears on My Labor Reports:

Once selecting the report, choose all the report criteria as usual, and Run Report to view it in the same window. You can export it into PDF or Excel using the options at the header.

Also, from the main Reports page, you can view your reports. You can also Rename, Duplicate or Delete them.
