Recommending Templates to Properties and Groups

Modified on Tue, 13 Oct at 2:36 PM

Overview

You can mark a template as recommended for certain properties or groups of properties. Those properties see a Recommended badge on the template, and people there can filter the gallery to show only recommended templates.

You set this when you create or edit a template, under Recommended Properties.

Start here, because this is the part people get wrong: recommending is only a label. It does not grant access, block access, or restrict anything. Every property in your organization can see and use every template, recommended or not.

Think of it like a “suggested for you” tag. It helps people find the templates that are likely relevant to them in a gallery that might hold dozens. That’s the whole job.

What recommending actually does

Exactly two things:

  1. Puts a Recommended badge on the template card for the properties you chose

  2. Makes the template appear when someone at those properties turns on Show only recommended

And here’s what it does not do:

❌ It doesn’t hide the template from anyone

❌ It doesn’t stop any property from adding it

❌ It doesn’t apply the template anywhere or create any schedule

❌ It doesn’t change anyone’s permissions

How to recommend a template

  1. Create a new template, or open an existing one with Edit.

  2. Click Recommended Properties.

  3. A window opens with two tabs: Properties and Groups.

  4. Properties lists your individual hotels. Search, or tick them one by one. There’s a Select All.

  5. Groups lists your property groups, with how many hotels are in each. For example, “Best Western - 4 Properties.” Ticking a group recommends the template to every property in it.

  6. Save.

The field then shows how many you’ve selected.

How do property groups work with recommendations?

Groups are the property groups your organization already uses in Inn-Flow. You don’t create or manage them here — this feature just uses what’s already set up.

Groups keep working after you save. If you add a hotel to a group later on, that hotel automatically picks up everything recommended to that group. Nothing gets applied and no schedule is created — the new hotel just starts seeing those badges.

Example. You recommend “Quarterly HVAC Filter Change” to your Best Western group, which has four hotels. Three months later you bring a fifth Best Western into the portfolio and add it to the group. That hotel’s GM opens the Template Gallery and already sees the HVAC template badged as recommended — nobody had to go back and update anything. They still have to click Add and pick a start date before anything runs.

Common questions

If I don’t recommend a template to a property, can they still use it? Yes. Completely, with no warning and no extra step. Recommending only affects the badge and the filter.

Does recommending a template apply it to those properties? No. Nothing is applied and no schedule is created. Somebody at each property still has to click Add and pick a start date.

Can I recommend a procedure to a property? No. Procedures aren’t tied to properties at all — they’re shared across your whole organization. Recommendations exist on templates only. → How to Use the Procedure Library

Can I recommend a template to everyone? Yes — use Select All on the Properties tab. Worth asking whether it’s useful, though. If everything is recommended, the badge and the filter stop telling anyone anything.

Where do the groups come from? They’re the property groups your organization already has in Inn-Flow. You can’t create or edit groups from here.

Do recommendations show up on a schedule after it’s been added? No. Once a template has been added at a property, it’s an ordinary maintenance schedule. Recommendations live in the gallery only.
