Ensuring Successful User Sync with Netchex: The Role of SSNs
To successfully sync users between Inn-Flow and Netchex, each employee must have a unique and valid Social Security Number (SSN) in their user profile. SSNs serve as the primary identifier used to map employees across both systems. Missing, duplicate, or incorrect SSNs will cause user sync to fail, preventing payroll and time data from flowing between Inn-Flow and Netchex.
Why It Matters
Inn-Flow requires a valid SSN to create and link employee records in Netchex.
If an SSN is missing, time and attendance cannot be exported because a Payroll ID cannot be assigned.
If an SSN is duplicated, only one record may sync properly, and the others will fail.
Without a successful sync, payroll data cannot be processed for the affected employees.
How to Avoid Sync Errors
Step 1: Audit Your SSNs in Inn-Flow and Netchex
Inn Inn-Flow, go to Administration > Users.
Use filters to identify users who:
Are missing an SSN.
May have duplicate SSNs.
Cross-reference these records with your employee data in Netchex.
Ensure that each SSN is unique and matches between systems.

Step 2: Resolve Duplicates
- Each employee must have a distinct SSN.
- If two users share the same SSN:
- Only one will sync successfully.
- The other user will not appear in Netchex or receive payroll data.
Step 3: Prevent Future Errors
Establish onboarding procedures that require accurate SSN entry.
Review and validate SSNs before creating new users in either system.
Coordinate with your Netchex representative during setup to confirm all SSNs are in place.
If you are onboarding a net new user, you only need to created them with a valid SSN in Netchex. This will automatically create and sync the user in Inn-Flow.
Final Check
Before exporting payroll:
Confirm that all users have SSNs in Inn-Flow.
Ensure each SSN is correct and unique.
Run a sync test or export preview to verify successful mappings.
