Bookkeeping Services: How to Add and Manage a Flagged Transaction

Flagging a transaction marks an entry that needs additional review or information, so potential issues get caught early and the right people are notified. Flags and their comments stay visible to relevant users, keeping the team aligned. This guide covers how to flag a transaction, track its status, and manage comments through the review lifecycle.

Before you start, confirm the following:

  • The property has an active Bookkeeping Services subscription.

Key Concepts

• Flag for Review – Mark a transaction that needs more review or information. You can flag from multiple stages, including the AP Inbox, Invoice Approval, and Payments.

• Complete Review – Once the review or information is provided, mark the flagged transaction as complete to show no further action is needed.

• Reviewed – Users with review permission can make changes to a flagged transaction, then set the status to Reviewed to show corrections have been made.

• Persistence – A flag stays with the transaction as it moves between stages (AP Inbox, Invoice Approval, Payments), so items needing attention are tracked no matter where the transaction sits. Reviewing Flagged Transactions

Flag a Transaction for Review

1. Locate the transaction you want to flag. It can be at any stage – Inbox, approvals, payments, or register.

2. Open the transaction slide-out and click the triple-dot icon at the far right of the transaction entry.

3. Select Flag for Review from the dropdown menu. A modal popup appears.

4. In the Enter Comment field, type the reason for flagging. This is required – the comment is added to the transaction's comments section and tagged Needs Review.

5. Optionally, type @ to notify another user and select them from the list.

6. Click Submit. The button stays greyed out until a comment is entered.

Once flagged, the transaction shows a banner reading "Flag for Review by [User]" and the comment appears in the comments section. Any mentioned users are notified.

Manage the Review Status

Use the banner at the top of the transaction to change its review status:

• Reviewed – The transaction has been examined but no immediate further action is needed.

• Complete Review – The review is finished and the transaction is cleared or has had the required action taken.

You can also add comments directly in the comments section and apply a status at the same time. After typing a comment, use the Select dropdown to choose:

• Add as Reviewed – Marks the transaction as reviewed but keeps it open.

• Add and Complete Review – Marks the review complete and closes it.

• Add a Comment – Adds the comment without changing the status.

Flagged transactions can also be viewed and managed from the Communications Inbox. See the article Understanding the Communications Inbox - Flagged Transactions.

Move a Flagged Transaction to the Next Stage

When a draft transaction meets all requirements, move it forward using the action button in the bottom blue bar. The flag persists as the transaction moves, so you can continue updating it in later stages such as Invoice Approval and Payments.
