Partial Reimbursements & Netting Transactions

A reimbursement settles money owed between two entities – for example, when one property pays a bill on behalf of another. You do not have to settle the full balance at once, and you can combine credits and charges in a single reimbursement. This article covers both.

Partial Reimbursements

You can reimburse less than the full balance owed. Select only the subset of transactions you want to cover. The remaining transactions stay unmapped – meaning they are not yet tied to a reimbursement – and continue to appear on the counterparty row (the other entity in the balance) until they are reimbursed, voided, or otherwise resolved.

Netting Positive and Negative Transactions

Netting means combining positive and negative transactions so that only the net (combined) total is settled. You can include both positive and negative transactions in a single reimbursement as long as:

  • The net selected total is greater than or equal to zero.

  • The net selected total does not exceed the total balance owed.

This is useful when an entity has a credit memo or a refund that needs to be applied against invoices in the same reimbursement event.

What You Cannot Do

  • You cannot create a reimbursement for a negative net selection – there are no advances.

  • You cannot over-reimburse – the selected total cannot exceed the balance owed.
