Editing Room Revenue in Operational Budgets 2.0

This guide explains how to configure room revenue within your property budget, including occupancy rates, segmentation mix, and additional revenue.

An operational budget is your property's projected revenue and expenses for the year. This guide covers how to configure room revenue within that budget – occupancy rates, segmentation mix, and additional room revenue.

Getting Started

1. Navigate to Operational Budgets 2.0.

2. Open the budget you want to edit by clicking View.

3. You land on the Room Revenue tab by default.

4. Optional: adjust your in-line comparisons using the filter at the top left of the page to guide your budget, or remove them entirely. Options are Last Year's Actuals and Last Year's Budget.

Total Occupancy

Total Occupancy is where you set the percentage of rooms you expect to sell for each month of the year.

1. Enter your total occupancy percentage for each month (this cannot be greater than 100%).

2. The system automatically calculates total rooms sold based on your property's total room count (set in Administration, then Entities, then select the HID and open the Rooms/Locations tab), the number of days in each month, and your occupancy percentage.

Keep in Mind: ADR, RevPAR, and Total Room Revenue will not calculate until the Segmentation Mix is completed.

Segmentation Mix

The Segmentation Mix is where you set the occupancy percentage and ADR (Average Daily Rate) for each segment you track. A segment is a category of business such as Corporate, Leisure, Group, or Government, and each represents a portion of your total occupancy. Completing this section lets the system calculate RevPAR, ADR, and total room revenue in the Total Occupancy section.

Segmentation rules to keep in mind:

  • Total occupancy across all tracked segments must equal 100% for each month. You only need to enter values for the segments you track. The running total appears in the header and footer of the table.

  • You can track segments differently across each month, as long as the tracked segments total 100% for that month.

  • If you don't track by segment, select one segment, set its occupancy percentage to 100%, and add its ADR. Caution: this will reflect on reports.

1. Enter the occupancy percentage for each segment by month (this cannot be greater than 100%). Track the running total in the header of the table: below or above the required 100% shows in red as X / 100, and exactly 100% shows in green as 100 / 100.

2. Input the ADR (Average Daily Rate) for each segment by month.

Review Automatic Calculations

Once each month totals 100%, the system automatically calculates:

  • Blended ADR for each month (weighted average across all segments)

  • RevPAR for each month

  • Total room revenue for each month

Additional Room Revenue

Beyond base room rates, you can track additional room revenue COAs such as:

  • Pet fees

  • Smoking fees

  • Resort fees

  • Other ancillary charges

To add additional room revenue:

1. Scroll to the Additional Room Revenue section.

2. Click the revenue row you want to configure. The By Period Factor Method slide-out panel opens.

3. Enter a total annual amount, which the system divides evenly across all 12 months, or select to customize each month individually.

Tips for Success

  • Align segments with your property management system categories

  • Consider seasonal variations in your mix percentages

  • Use the in-line comparisons to review historical data to form realistic projections
