The Communications Inbox is the central page for managing flagged items. From one location you can monitor, search, filter, review, and resolve every flagged transaction. A flagged transaction is an entry that a user has marked as needing additional review or information.
Before you start, confirm the following:
The property has Bookkeeping Services, and your role has Can Flag/Complete and/or Can Review. Only then does the Communications icon appear in the left navigation. See the KB article How to Apply Bookkeeping Flagging Permissions.
For how a transaction gets flagged in the first place, see the KB article How to Add and Manage a Flagged Transaction.
Open and Navigate the Inbox
1. Log in to Inn-Flow.
2. In the left navigation, select Communications. All flagged transactions can be monitored, reviewed, and managed here.
Use the left-side toggle to switch views:
Flagged by Me – Items you flagged.
All – All flagged items regardless of who flagged them.
Search, Filter, and Sort
Use the search bar at the top to find specific flagged items by header (the main bold text), status badge, or EHID (the property/hotel identifier in Inn-Flow).
Apply filters to narrow the list:
Group – Filter by group, which sets the available EHID options. For example, selecting Group A includes EHID 1, 2, and 3.
EHID – Use the multi-select dropdown to filter by specific properties.
Status – Multi-select from Needs Review, Reviewed, Review Complete, plus Select All and Clear All. By default, Needs Review and Reviewed are selected.
Use the sort icon in the top-right corner to sort by date – New to Old (default) or Old to New.
Use the gear icon in the top-right corner for page settings. Save as Default saves the current filter and sort as your default view, which persists after you navigate away or log out and back in. Clear All Filters resets the view to show all items.
View and Manage Flagged Transactions
Transactions appear in a list, each with a status badge (Needs Review, Reviewed, or Review Complete) and a timestamp based on the flagged status. For each item you can:
Click Show activity to expand the full thread of comments and interactions, and Hide activity to collapse it.
Read comment details – each comment shows the username followed by the text, with the most recent at the bottom.
Check the comment pip count for the number of comments, and click View More if there are more than three.
1. Click a transaction that needs review to open its details in a slide-out panel.
2. Note the orange banner indicating the item needs review.
3. Update whatever information triggered the flag.
Change the Status
There are two ways to update a flagged transaction's status.
Option 1: From the top banner. Click Change Status on the orange banner. Users with Can Flag/Complete see Reviewed and Review Complete; users with Can Review see only Reviewed. The banner changes from orange to blue.
Option 2: From the comment section. Add a comment and select Add as Reviewed to add the comment and set the status to Reviewed (blue banner), or select Add a Comment to add clarification without changing the status.
To finish: users with Can Flag/Complete can set the status to Review Complete from the blue banner when no further action is needed, or back to Needs Review if more action is required. Users with only Can Review see no further dropdown options once the status is Reviewed.
