AP Settings: General Setting Configuration

How to configure the AP Settings General tab, including bypass options for paid M-ACH and paid credit card transactions.

The General tab of AP (Accounts Payable) Settings controls whether paid transactions bypass the approval and payment-confirmation steps in the AP Inbox. Configuring these settings lets you tailor the approval process to balance efficiency, control, and security for your organization.

Prerequisites

Your role must have the Invoice Approval Settings permission. Grant it under Administration, then Roles & Permissions, then select the permission set and check Accounting, then Administration, then Invoice Approval Settings.

How to Configure Accounts Payable General Settings

Access the General Settings

1. Log in to Inn-Flow.

2. In the left main navigation, select Accounting.

3. Scroll to the Settings section and select AP Settings (previously called Invoice Approvals).

4. You will see two tabs: General and Invoice Approval. Select the General tab.

Note: For more details on Invoice Approvals, please see AP Settings - Invoice Approval Setting Configuration.

Configure the Settings

General Settings has two categories, each covering transactions already marked as Paid. To enable any option, toggle its switch to the right.

Paid M-ACH Transactions (M-ACH = Managed ACH, Inn-Flow's automated bank payments; ACH = Automated Clearing House):

  • Bypass Approvals – lets any paid M-ACH transaction skip the approval process in the AP Inbox.

  • Bypass Payment Confirmation – lets any paid M-ACH transaction skip the payment-confirmation process in the AP Inbox.

  • Paid Credit Card Transactions:

  • Bypass Approvals – lets any paid credit card transaction skip the approval process in the AP Inbox.

  • Bypass Payment Confirmation – lets any paid credit card transaction skip the payment-confirmation process in the AP Inbox.

Why Configure These Settings

• Increased efficiency – fewer steps to process transactions that are already paid.

• Reduced manual effort – less need to approve and confirm payments that have already cleared.

• Customizable workflow – flexibility to match the approval process to your organization's needs.
