The Journal Entries page is where you create and manage journal entries in the Accounting module. Journal entries are used to record adjustments, reclassifications, accruals, and other transactions that do not go through the AP Inbox or Register.
Creating a Journal Entry
Navigate to Accounting > Journal Entries.
Select the Property (EHID)
Click Add Journal Entry.
Begin typing a Vendor name, and select the appropriate vendor name. For entries that are not associated with a particular vendor, use the Generic Vendor, or create a vendor titled “Journal Entry”.
Enter the transaction date and accounting period.
Enter any notes for the journal entry.
Add line items: for each line, select a COA, enter the Debit or Credit amount, and add a description if needed.
The entry must balance – total debits must equal total credits.
To make this a repeating entry, toggle the Repeating option and set the frequency.
Click Save Entry to post the journal entry.
Viewing and Editing Journal Entries
The Journal Entries page lists all journal entries for the selected property and accounting period. You can filter by date range, search by description, or sort by any column.
Click on any entry to open it for editing. You can modify the line items, description, or attachments as long as the entry has not been locked by a closed accounting period.
Reversing a Journal Entry
To reverse a journal entry, open the entry and select the Reversal option. Add the Reversal Date and Accounting Period. This creates a new journal entry with the debits and credits swapped, effectively undoing the original entry.
Note: Journal entries in a closed accounting period cannot be edited. If you need to make a correction, create a new journal entry in the current open period.
