Inn-Flow lets you set up recurring transactions so they automatically create new entries on a schedule. This is useful for any transaction that happens on a regular cycle – things like monthly management fees, weekly pest control payments, or biweekly loan draws.
Which Transaction Types Support Repeating
The following transaction types can be set to repeat:
Deposits (Register page)
Withdrawals (Register page)
Transfers (Register page)
Journal Entries (Journal Entry page)
Invoices, checks, and AP transactions do not support the repeating feature. If you need recurring AP entries, you would create repeating journal entries or withdrawals instead.
Setting Up a Repeating Entry
For Withdrawals, Deposits, or Transfers:
Go to Accounting → Register. Select the HID and Account from the drop-down menus.
Click Add Transaction and select the transaction type (Withdrawal, Deposit, or Transfer).
At the top of the entry slide-out, turn the Repeating toggle to On.
Select the frequency: Weekly, Every 2 Weeks, or Monthly.
Enter the Transaction Date for the first occurrence.
If the entry should stop after a certain date, enter an End Date. Leave it blank if the entry should repeat indefinitely.
Complete the remaining fields (account, amount, vendor/payee, memo, etc.) and click Save.
For Journal Entries:
Go to Accounting → Journal Entry.
Click Add Journal Entry.
Turn the Repeating toggle to On at the top of the slide-out.
Select the frequency and dates, complete the debit/credit lines, and click Save.
Example: Monthly Management Fee
Suppose your property pays a $2,500 management fee on the 1st of every month. To set this up:
Go to Accounting → Register and click Add Transaction → Withdrawal.
Turn the Repeating toggle On and select Monthly.
Set the Transaction Date to the 1st of the current month. Leave the End Date blank.
Select the bank account, enter $2,500 as the amount, choose the vendor, and code to the Management Fee expense account.
Click Save. Inn-Flow will create a new $2,500 withdrawal on the 1st of each month going forward.
Managing Repeating Entries
All entries set to repeat are listed on the Repeating page (accessible from Accounting → Repeating). From this page you can:
Review upcoming repeating entries and their next scheduled date.
Edit a repeating entry to change the amount, account coding, frequency, or end date.
Delete a repeating entry to stop future occurrences. Entries already created by the repeating schedule are not affected.
IF PRO TIP: Do you have entries that repeat but the amount changes each time? Create a repeating entry for $1.00 as a placeholder. Each time the entry appears, update the amount. All other details (account, vendor, memo) carry over, saving you time.
