Inn-Flow does not allow you to delete bank accounts. Instead, you can inactivate an account that is no longer needed. Inactivating removes the account from active selection lists (such as payment dropdowns) but preserves it in all historical reports, reconciliations, and transaction records. This ensures your audit trail stays intact.
Before You Begin
Confirm the following before attempting to inactivate a bank account:
The account Register balance must be reconciled to $0.00.
There must be no outstanding invoices on the Approval or Payments page assigned to this account. Any pending transactions tied to the account will block inactivation — you must either pay, void, or reassign those invoices to a different bank account first.
The account must not be set as the Primary Account. If it is, you must designate another account as Primary before proceeding.
Steps to Inactivate a Bank Account
Navigate to Accounting > Register and select the bank account you want to inactivate.
Verify the account balance is $0.00.
Click the Triple-Dot Menu in the upper-right area of the Register page and select Edit Account.
Scroll to the bottom of the Edit Account panel.
Toggle the Active switch to the off position.
Click Save.
What Happens After Inactivation
The account no longer appears in bank account dropdowns when creating payments or journal entries.
All historical transactions, reconciliations, and reports that reference the account remain unchanged and accessible.
You can reactivate the account at any time by returning to Edit Account and toggling Active back on.
IF PRO TIP: If the bank account has never had any transactions posted to it, consider updating the Account Number and account details to repurpose it rather than inactivating. This keeps your chart of accounts cleaner.
If the account you want to inactivate is currently set as the Primary Account, you must first select a new Primary Account. Contact the Support Team at [email protected] if you need assistance.
