Why can I not reconcile a future date deposit via Bank Sync?

If you receive an error in Bank Sync stating that you cannot reconcile a future date transaction, it means the deposit recorded in Daily Activity has a date that falls after the bank transaction date. Inn-Flow prevents this match because it would misrepresent when the deposit actually occurred.

Why This Happens

Bank Sync compares the date on the bank feed transaction to the date of the deposit in Daily Activity Entry. If the Daily Activity deposit date is in the future relative to the bank transaction date, the system blocks the match. This is by design – deposits cannot be reconciled to bank transactions dated before the deposit was recorded.

How to Fix It

You need to move the deposit to the correct date using the Deposits Audit section in Daily Activity Entry.

  1. Navigate to Accounting > Daily Activity Entry.

  2. Go to the date the deposit actually occurred (the date matching the bank transaction).

  3. Open the Deposits Audit section and update the Actual deposit amount to reflect the correct deposit for this date.

  4. Next, go to the date where the deposit was incorrectly recorded.

  5. In the Deposits Audit section, adjust the Actual amount to remove the deposit from this incorrect date.

  6. Return to Bank Sync. The deposit will now appear on the correct date and be available to match.

IF PRO TIP: The Deposits Audit section is where you record the difference between PMS deposit amounts and the actual deposits received at the bank. Use the coding section and notes field to document why the variance occurred – this keeps the property team and accounting team aligned.
