Inn-Flow lets you set up repeating debit entries on credit card accounts in the Register to automatically record recurring credit card charges each month. This is useful for subscriptions, recurring vendor charges, or any expense that hits the same credit card account on a regular basis (e.g., a monthly software subscription or pest control service).
Important: This feature records the charge in Inn-Flow's accounting system only. It does not initiate an actual payment to the vendor or process a credit card transaction. The charge must already be occurring on the physical credit card – this feature ensures it is captured in your books each month automatically.
Setting Up the Repeating Charge
Navigate to Accounting > Banking > Register.
In the Account dropdown at the top of the Register, select the Credit Card account you want to record the repeating charge against.
Click the Add Transaction button in the top-right corner of the Register.
From the dropdown menu, select Add Debit. (A debit to a credit card liability account increases the balance owed, which is how charges are recorded.)
On the debit entry screen, fill in the transaction details: Date, Payee/Description, Amount, and the offset GL account (the expense account the charge should be coded to, such as a Software Expense or Maintenance account).
Locate the Repeating toggle switch on the entry screen and switch it to On.
Configure the repeating schedule:
– Repeat Frequency – This is currently set to Monthly and is not editable. The system will post the debit on the same date each month.
– End Date – Optionally, set a date when the repeating charge should stop. If no end date is entered, the charge will continue posting indefinitely until you manually stop it. The end date must be after the transaction date.
8. Click Save to create the repeating entry.
Managing Repeating Charges
After saving, the repeating charge appears on the Repeating Page (accessible from the side navigation). From there you can:
Edit the repeating entry to change the amount, GL coding, or end date.
Stop the repeating entry to prevent future charges from posting.
Monitor the status and history of all recurring transactions.
If the Charge Amount Varies Month to Month
The repeating entry posts the same amount each month. If the actual credit card charge varies (for example, a utility bill that fluctuates), you have two options: set the repeating entry to the typical amount and adjust the difference manually each month in the Register, or skip the repeating entry entirely and enter the charge manually each month when the statement arrives.
IF PRO TIP: Repeating entries also work for withdrawals, deposits, transfers, and journal entries. If you have other recurring transactions beyond credit card charges, you can set them up the same way from the appropriate Register account.
