How do I record a payment to my Credit Card Account?

When you make a payment toward your credit card balance (e.g., writing a check or transferring funds from your operating account to pay down the card), you need to record that payment in Inn-Flow so both accounts reflect the transaction. The Add Payment feature in the Credit Card Account's Register handles this – it creates the credit to the credit card account and the corresponding debit to the bank account in one step.

This applies to Credit Card Accounts that have been set up in Inn-Flow with a vendor assigned. If you haven't set up your credit card account yet, do that first.

Steps to Record a Credit Card Payment

  1. Navigate to Accounting > Register.

  2. Select the Hotel and then select the Credit Card Account from the account dropdown.

  3. Click the Add Transaction button and select Add Payment.

  4. The Vendor Name will auto-populate based on the vendor assigned to the credit card account.

  5. Enter the following details:

Invoice Number (use your reference number or statement date)

Method of Payment (Check, Manual ACH, etc.)

Accounting Period

Notes (optional)

Statement Ending Date

Amount of the payment

Click Save Entry.

6. Navigate to Invoice Approval and then to the Payments page to complete the payment.

7. If you selected Check as your method of payment, a check can be printed from the Payments screen to send to the vendor.

Once paid, the transaction will appear in the Register for both accounts – a credit to the Credit Card account and a debit to the Bank Account.

IF PRO TIP: Use the credit card statement date as your Invoice Number for easy reference when reconciling. This makes it simple to match payments to statements.
