Why is my Room Revenue or Rooms Occupied not calculating in my Operational Budget?

If your Operational Budget page is showing no Rooms Available, the wrong Room Count, or Room Revenue is not calculating, the issue is almost always one of two things: the Guest Room count hasn't been set, or the budget needs to be triggered to recalculate after a room count change.

Root Cause 1: Guest Room Count Is Missing or Incorrect

The Operational Budget calculates Rooms Available, Rooms Occupied, and Room Revenue based on the Guest Room count configured for the hotel. If no room count has been entered – or it was entered with the wrong effective date – these fields will show zero or incorrect values.

  1. Verify your hotel's Guest Room count is set correctly. The count needs to have an effective start date. Ideally this is January 1st of the budget year, but it could be a later date if the hotel was under construction or recently opened.

  2. If the Guest Room count is missing or wrong, update it. See the related article: How to add the Guest Room count.

Root Cause 2: The Operational Budget Needs to Recalculate

After adding or updating the Guest Room count, the Operational Budget does not automatically refresh. You need to trigger a recalculation manually.

  1. Navigate to the Operational Budget page for the hotel.

  2. Click to open the Room Revenue section.

  3. Click on any month's % Occupancy field, and make a minor change. Click Save Changes to trigger the calculation. Then, you can edit the amount back to what it was previously.

  4. Click Save.

This triggers Inn-Flow to recalculate the Room Revenue top-line numbers using the updated Guest Room Count.
