The Deposits Audit section of Daily Activity Entry captures variances between the PMS's reported payments and the actual payments extracted from the hotel's safe (or for credit cards, balanced against the payment processor's activity). This is typically completed by the hotel's accountant.
Review Tasks is an optional layer of bank deposit confirmation and internal communication that sits on top of the Deposits Audit. It serves two primary purposes:
Use Case 1: Shift-to-Shift Communication
Use Review Tasks to communicate between shifts – for example, the Night Auditor can flag an issue for the morning Manager regarding discrepancies found in PMS reports or data entry for any day.
On the Daily Activity Entry page, click the Review Tasks button.
Click + Task to create a new entry.
Fill out the details – describe the problem, select the relevant date, and add any notes.
Click Save.
Once the issue has been discussed and resolved, the next person can check the Resolved box.
After final review, check the Verified box to fully close the issue.
Use Case 2: Bank Deposit Tracking
Use Review Tasks to track when Cash and Check deposits have physically been taken to the bank. When you mark a Cash or Check deposit as "Resolved," Inn-Flow places a "Deposit Received by: <user, date, time>" stamp on the main Daily Activity page for that day. This helps the person reconciling the bank account know exactly when money was deposited.
Once the bank statement is reviewed and the deposit matches, the reconciling user can mark the entry as "Verified" in Review Tasks.
Types of Review Tasks
Cash deposit variances – Automatically created from Deposits Audit when Cash actual amounts don't match PMS totals.
Check deposit variances – Same as above, for Check payment types.
Manually created issues – Any issue you flag via the + Issue button for shift communication or internal notes.
How to Resolve Each Type
Issue Type | How to Resolve |
Cash/Check variance | Verify the actual deposit amount, investigate the source of the variance in PMS reports, correct if needed, then check Resolved and Verified. |
Manual issue (shift note) | Review and address the flagged concern, then check Resolved. The verifying user (e.g., GM or accountant) checks Verified. |
Bank deposit confirmation | Confirm the deposit was taken to the bank and mark Resolved. After the bank statement confirms receipt, mark Verified. |

Review Tasks is an optional feature. It will not negatively affect the balancing or reporting of any Daily Activity date if not used. Cash and Check items from Deposits Audit are automatically copied into Review Tasks – credit card items are not.
