What is a Sub Vendor?
A Sub Vendor lets you track the actual vendor where a purchase was made when the payment goes through a different vendor (like a credit card company). The main vendor on the invoice is who you are paying. The Sub Vendor is where you used the card.
For example, you use your American Express card to buy supplies at Home Depot. The invoice is entered to American Express (the vendor you are paying), but you add Home Depot as the Sub Vendor on the COA line. This lets you track expenses by where they actually occurred.
How to Add a Sub Vendor to an Invoice
Complete the top section of the Invoice Entry page (vendor, invoice number, date, etc.).
Scroll down to the COA detail section.
Click the Column Icon on the top right of the COA detail grid.
Check the box next to Sub Vendor to add the column to the grid.
In the new Sub Vendor column, select the vendor where the purchase was made.
IF PRO TIP: If you always want the Sub Vendor column to show for a specific vendor, click Save as Default View after enabling it. This saves you from toggling it on every time.
How Sub Vendors Help with Searching
Once Sub Vendors are used on invoices, you can search in Accounting > Search to find transactions by either the main vendor (e.g., American Express) or the Sub Vendor (e.g., Home Depot). This gives you full visibility into both who was paid and where the expense occurred.
