Inn-Flow restricts journal entries to certain Chart of Accounts known as Fixed Chart of Accounts. These restrictions exist to protect the accuracy of key financial reports. If you try to journal entry to one of these accounts, the system will not allow it.
Below is each restricted account type, why it is restricted, and what you can do instead.
Bank Accounts
Why restricted: A journal entry to a bank account would change the cash balance without creating a corresponding transaction in the bank reconciliation module. This causes the Balance Sheet and Bank Reconciliation balances to not match.
Workaround: Enter a Deposit or Withdrawal directly in the bank account register. Note that this entry will remain outstanding in reconciliation since it is not an actual bank transaction. This is not recommended but can be done in extreme scenarios where the Balance Sheet balance must show a specific number.
Accounts Payable
Why restricted: Accounts Payable is an automatic balance calculated from all pending invoices. A manual journal entry would cause the AP Report and Balance Sheet to not match.
Workaround: To adjust AP, enter or modify invoices through the normal invoice entry process. The AP balance will update automatically.
Prepaid Offset
Why restricted: Prepaid Offset is an automatic entry created when invoices are posted as paid in December but the Accounting Period is January of the following year. The system automatically reverses this in January.
For more information, see the article: What is Prepaid Offset?
Retained Earnings
Why restricted: Retained Earnings is a calculated code – it is an automatic offset to the prior year's Net Income and cannot be manually overridden.
Workaround: You can make an adjustment to COA 30001 Retained Earnings Prior Year to account for any needed changes.
Due To/From Entities (COA 20345)
Why restricted: COA 20345 Due To/From Entities is system-restricted because it is exclusively used by the Reimbursement feature within the EID's Register.
Workaround: If you need to make a Journal Entry for liabilities owed to/from entities, create a new COA in the same Liability section using an unused COA number. Use the same mapping structure as COA 20345.
