How can I edit a posted, unreconciled entry?

If an invoice has been posted (approved and moved to a bank or credit card register) but has not yet been reconciled against a bank statement, you can still edit it. "Posted" means the invoice has been paid or marked as paid and is sitting on the register. "Unreconciled" means it hasn't been matched to a bank transaction during Bank Sync or manual reconciliation yet.

Once an entry is reconciled or the accounting period is closed, it can no longer be edited directly. In that case, you would need to void and re-create the invoice.

Find and open the entry

  1. Navigate to Accounting > Search, or open the Register for the bank or credit card account where the entry was posted.

  2. Click on the Associated Invoice link (the invoice number in the middle of the transaction row) to open the full invoice.

What you can edit

On a posted, unreconciled entry, you can update the following fields:

Amount – Change the total or individual line item amounts.

Payment Method – Switch between Check, ACH, Credit Card, etc.

Payment Date – Update when the payment was made.

Invoice Date – Update the invoice date.

Accounting Period – Update the accounting period.

Chart of Accounts – Reassign expense coding.

Notes & Descriptions – update if needed

Note: Your ability to edit depends on your Role Permissions and whether the Accounting Period is still open. If you don't see edit options, check with your administrator.

Important: If you change the Payment Method, the invoice will move off the current bank or credit card register and return to the Payments page. It will no longer be marked as paid and will need to be re-posted from Accounting > Payments.
