For Vendors, what does "Group Invoices by Default" mean?

Vendors have a setting in their profile called Group Invoices by Default. When this is turned on, payments to that vendor will be combined into a single payment when you process multiple invoices together. When it's turned off, each invoice is paid separately with its own payment.

For example, say you have three invoices to the same vendor for $100, $200, and $300. With Group Invoices by Default turned on, processing all three creates one check for $600. With it turned off, you get three separate checks — one for each invoice.

Where to Find This Setting

  1. Go to Administration > Vendors.

  2. Select the vendor you want to update.

  3. In the Vendor Profile, locate the Group Invoices by Default toggle.

  4. Turn the toggle on or off, then save your changes.

When to Use This Setting

  • Keep it on — Most hotels leave this enabled to reduce the number of checks they print and process. Fewer checks means less paper, fewer bank fees, and simpler reconciliation.

  • Turn it off — Some vendors require individual invoice references on each payment. If a vendor needs to match each check to a specific invoice on their end, turn grouping off so each invoice gets its own payment.
