Department and group names are managed through COA Classification. Changes made here update how accounts are grouped on your Operating Statement and Balance Sheet.
Understanding the Group Hierarchy
Inn-Flow organizes Chart of Accounts into a hierarchy that controls how they appear on financial reports:
Level | What It Controls | Example |
Account Type | Which report the account appears on | Revenue, Expense = Operating Statement. Asset, Liability, Equity = Balance Sheet. |
Main Group | The top-level department grouping | Rooms, Food & Beverage, Administrative & General |
Sub Group 1 | Sub-category within the department | Salaries & Wages, Other Expenses |
Sub Group 2 | Further breakdown (if needed) | Benefits, Contract Labor |
Steps to Rename a Group
Navigate to Administration > Chart of Accounts.
Click the COA Classification button at the top of the page.
Select any chart of account that belongs to the group you want to rename.
Click the Change Order link (shown in blue text) to view and edit the group names.
Click on the group name you want to change. Edit the name and click Save. Use the arrows to re-order the selections
Important: Renaming a group changes the name for every account assigned to that group, not just the one you selected. For example, if you rename the Main Group "Rooms" to "Rooms Division," every COA assigned to that Main Group will now display under "Rooms Division" on your reports.
Note: After renaming a group, run the Balance Sheet or Operating Statement to confirm the changes appear correctly.
