What is the Chart of Account for "Prepaid"?

What is Prepaid?

The Prepaid account is a balance sheet account that Inn-Flow uses when an invoice is entered with a future Accounting Period, but the check is cut in a previous month. Inn-Flow pairs this with a Prepaid Offset account to temporarily hold the money between periods, ensuring the expense lands in the correct accounting period rather than when the check was actually written.

This is an automatic entry - Inn-Flow handles the journal entries behind the scenes when the check date falls in an earlier period than the invoice's accounting period.

How the Prepaid Offset Works

When a check is cut before the invoice's accounting period, Inn-Flow creates two sets of journal entries. Here's an example: an insurance invoice is coded to a January 2025 accounting period, but the check is cut in December 2024.

December 31, 2024:

  • Debit to Prepaid

  • Credit to the Bank Account

January 1, 2025:

  • Debit to the Expense Account

  • Credit to Prepaid

The Prepaid account is zeroed out in the accounting period to which the invoice is coded. If the invoice was entered with a March 2025 accounting period but the check was cut in December 2024, the balance would remain in the Prepaid account until March 2025, when the debit to the Expense and credit to the Prepaid would automatically occur.
