How Do I Download a Copy or Void a Check?

You can download a PDF copy of a check or void it from the Register page in Accounting.

Finding the check

  1. Go to Accounting > Register. Select the Bank Account that the check was printed from.

  2. Use the Filter field to search by check number. If the check was not cut within the last 30 days, you may need to change the date range filter to include the date the check was originally written.

  3. Click on the check's row to open the payment details.

Downloading a copy

With the payment details open, click Download Copy in the top-right corner. A PDF of the check will download to your computer.

Voiding a check

Voiding a check reverses the original payment by creating a duplicate entry for the opposite amount. This adjusts your bank account balance and can optionally re-create the invoices so they can be re-processed.

  1. With the payment details open, click Void in the top-right corner.

  2. On the void screen, fill in the following fields:

– Accounting Period -- select the period the reversal should post to.

– Void Date -- the date the reversal will affect the bank account.

– Void Reason -- enter a reason for voiding the check.

3. If you need to re-pay the invoices, select the checkboxes next to each invoice you want to re-create, then click Void in the bottom-right corner. This will re-create those invoices and place them in Invoice Approval for review. Once approved, they will appear on the Payments page to be paid again.

4. If you do not need to re-pay any invoices, leave the checkboxes unchecked and click Void.

Note: Voiding a check does not delete the original transaction from your records. It creates a reversal entry so your books stay in balance. If you chose to re-create invoices, they will need to go through the approval workflow again before a new payment can be issued.
