How do I Add a Digital Signature?

Inn-Flow allows you to upload a digital signature that automatically prints on checks generated through the system. When a check is printed, the signature image appears in the signature area of the check, eliminating the need to manually sign each one. A dollar limit controls which checks receive the signature – any check exceeding that limit will print without the signature, requiring a manual signature for higher-value payments.

Adding a Digital Signature to a Bank Account

  1. Navigate to Accounting > Banking > Accounts.

  2. Select the HID (Hotel ID) for the property.

  3. Select the bank account you want to add the signature to.

  4. Click the triple-dot menu (⋯) in the top-right corner of the page and select Edit Account.

  5. In the Bank Account Details dialog, click the Check tab.

  6. In the Digital Signature Limit field, enter the maximum dollar amount for which the signature should print. For example, entering $5,000 means checks for $5,000 or less will print with the signature, and checks over $5,000 will print without it.

  7. Download the Digital Signature Form. Complete the form, which captures the authorized signer's information and signature image.

  8. Return to the Check tab and drag and drop the signature image file into the Upload Digital Signature box. The image should be a clean scan or photo of the signature on a white background.

  9. Click Save to apply the changes.

  10. Repeat steps 3 through 9 for each bank account that needs a digital signature.

Note: If you leave the Digital Signature Limit field blank or set it to $0, the signature will not print on any checks for that account. You must enter a limit greater than zero.

How the Signature Limit Works

The Digital Signature Limit acts as a threshold. Checks at or below the limit amount will print with the uploaded digital signature. Checks exceeding the limit will print without it, allowing your organization to require a manual signature for higher-value payments as an additional control.
