How do I update a Chart of Account?

There are three types of changes you can make to a Chart of Account (COA): editing the account details, updating its classification (how it groups on reports), or deleting/inactivating it. Each is covered below.

Edit a COA's Details

Use this to change a COA's name, status, or subgroup assignments.

  1. Navigate to Administration > Chart of Accounts.

  2. Click on the COA you want to update. The Edit COA page will open.

  3. Update the fields you need to change:

COA Name – The display name that appears on reports and dropdowns.

Status – Set to Active or Inactive. Inactive accounts stop appearing in selection dropdowns but remain in historical reports.

Main Group, Sub Group 1, Sub Group 2 – Controls how the account is categorized on the Operating Statement and Balance Sheet.

  1. Click Save & Close.

Note: Fixed COAs (system-generated accounts like Accounts Payable, Retained Earnings, etc.) cannot be edited.

Update a COA's Classification

Use this to change the grouping or row title of accounts on your financial statements.

  1. Navigate to Administration > Chart of Accounts.

  2. Click the COA Classification button on the top of the screen.

  3. Select the COA you want to reclassify.

  4. Update the Main Group, Sub Group 1, or Sub Group 2 as needed.

  5. Set the Row Title to Match COA Name (or enter a custom row title for the report).

  6. Click Save.

Note: Classification changes affect how the account appears on the Operating Statement and Balance Sheet. After saving, run the affected report to confirm the account is displaying where you expect.

Delete or Inactivate a COA

If a COA is no longer needed, you can delete it or set it to inactive.

  1. Navigate to Administration > Chart of Accounts.

  2. Click on the COA.

  3. To delete: Click the Delete COA button on the top right.

  4. To inactivate: Change the Status to Inactive and click Save & Close.

IF PRO TIP: If a chart of account has any posted activity, Inn-Flow will not allow you to delete it. Set the status to Inactive instead. The account will remain in historical reports but won't be available for new entries.
