How do I Reconcile a Bank Account?

The Reconciliation function is located in the Accounting module on the Register page. Each bank account (Operating, Miscellaneous, and Payroll) should be reconciled on a monthly basis. Reconciliation ensures that month-end General Ledger balances match the month-end balances on your bank statements.

Inn-Flow offers three reconciliation options. Choose the one that best matches how your bank statement presents transactions:

  • Standard Reconcile – Use this when your bank statement lists each deposit type (e.g., credit cards, cash) in separate sections that can be reconciled independently. This is the default view.

  • Reconcile All – Displays all deposits and withdrawals together on one page, sorted by date, with each transaction type on its own row. Use this when your bank statement intermingles deposit and withdrawal types in a single chronological list.

  • Group Reconcile – Combines multiple deposit types on one page and totals all transactions by date, so only one amount appears per day. Use this when your bank groups several deposit types into a single daily total.

Opening the Reconciliation Page

  1. Navigate to Accounting → Register.

  2. Select the bank account to reconcile from the drop-down menu at the top of the page.

  3. Click the Reconcile button.

  4. Confirm the Accounting Period (upper-right corner) is correct and that you are in the intended bank account. The period automatically defaults to the oldest unreconciled accounting period.

Understanding the Reconciliation Summary

The reconciliation summary page lists every deposit and withdrawal grouping with a status indicator:

Status

Meaning

Start

There are pending items available for reconciliation.

No Transaction

No transactions exist in this grouping for the selected period.

In Progress

Some transactions have been reconciled, but the grouping has not been marked complete.

Complete

This grouping has been fully reconciled and marked complete.

From the summary page you can also:

  • Enter the Statement Ending Balance to begin reconciliation. The Variance field recalculates automatically when you enter this value.

  • Click View Pending Deposits or View Pending Withdrawals to see GL entries that have not yet been reconciled to the bank statement. You can export these lists.

  • Upload your bank statement or other backup documents using the Attachment section at the bottom of the summary page.

Note: The Variance field must equal zero for the reconciliation to balance. It is highlighted in red when a variance exists.

Reconciling Deposits and Withdrawals (Standard Reconcile)

Deposits are grouped by type: E/HID, Cash & Checks, AMEX, Discover, Visa/MC, Other CC's, and Other Deposits. Withdrawals are grouped by Checks and Other Withdrawals. Groupings may vary based on your bank account and EID setup.

  1. Click the status link within the deposit or withdrawal grouping you want to reconcile.

  2. If you know the total for this group from your bank statement, enter it in the Statement Total field (upper-right). This provides a running variance as you check off items.

  3. Review the transaction detail list. All unreconciled entries for this grouping are displayed.

  4. Select each transaction that appears as cleared on the bank statement by clicking the check-mark on the right side of the row. Click it again to deselect.

  5. If a transaction needs an adjustment or commission, click the adjustment area next to the date for a per-date adjustment, or use the adjustment field at the top of the page for an overall adjustment.

  6. If a transaction appears on the bank statement but is not in Inn-Flow, click Add Transaction (upper-right) to manually add the deposit or withdrawal.

  7. Once the grouping shows zero variance, click Mark As Complete (bottom-right corner). Check the Proceed to Next box to automatically move to the next grouping.

  8. Repeat for all remaining deposit and withdrawal groupings.

Completing and Reopening a Reconciliation

After every grouping has been marked complete, click Complete Reconciliation at the bottom of the summary page. Once the reconciliation status is changed to Complete, no further adjustments or changes can be made.

If you need to make changes after completing, click Reopen Reconciliation at the bottom of the summary page. This returns the reconciliation to an editable state.

Using Group Reconcile

Group Reconcile combines multiple deposit types onto one page and totals transactions by date, so only one amount appears per day. This is useful when your bank statement shows a single daily deposit total that includes multiple card types.

  1. From the reconciliation summary, click the Group Reconcile button in the upper-right of the Deposits section.

  2. Select the deposit types that are grouped together on your bank statement.

  3. Click Reconcile to view the combined, date-totaled transaction list.

  4. Reconcile and mark complete using the same process described above.

Using Reconcile All

Reconcile All displays all deposits and withdrawals together on one page, sorted by date. Each transaction type appears on its own row, so you can see individual amounts while reconciling everything in one view.

  1. From the reconciliation summary, click the Reconcile All button in the upper-right of the Deposits section.

  2. All deposit types will be pre-selected. Click Confirm to proceed.

  3. Reconcile and mark complete using the same process described above.
