HFTP: Uniform System of Accounts for the Lodging Industry
To create new Chart of Accounts:
Within this webinar, you'll learn what New Chart of Accounts need to be added. Refer to this article on how to create new chart of accounts.
Departments will need to be renamed, and Chart of Accounts will also need to be moved from one department to another, like Rooms to IT, and Maintenance to Energy, Water and Waste. This can easily be done within the Chart of Accounts page then by going to the COA Classification page.
To move the department of a chart of account:
Find the chart of account that needs to be moved, like Waste Removal.
Find the Sub Group 1 drop down, and select the new Department of this chart of account. You can review the Sub Group 2 of similar chart of accounts in this department to know what the next selections will be. Typically all expenses will have a Sub Group 2 called Other, unless its a Payroll chart of account.
Making this change will move all prior expenses for that chart of account from the prior department to the updated settings.
To rename a department, like Utilities to Energy, Water & Waste:
First, click on one of the Utility chart of accounts, (Gas, Electricity or Water):
Then click on the blue text button, "Change Order," next to the Sub Group 1 called Utilities.
Then click on Utilities again.
Here you can rename the Sub Group from Utilities to Energy, Water and Waste. Once saved, this will change the name of the department within all Inn-Flow pages and reports.
IF PRO TIP: With the above updates, if you wish to have the chart of account number changed to better suite the chart of account numbering of similar accounts, please create a Support Ticket and let the team know what the prior COA # is and what the New COA # should be.
You may not want to make these changes mid-year. You can easily reference this article when it's time to start budgeting for 2026 if you wish to budget for the new accounts, or even make these updates late 2025 or early 2026 once 2025 financials are finalized.
