If you exported payroll from Inn-Flow to Netchex and one or more pay rates (for example, Regular or Overtime) are not appearing in the Netchex timesheet grid, the cause is usually that Netchex's default rate fields will not accept the rate mapping sent from Inn-Flow through the integration. The pay rate export is the dollar-per-hour value Inn-Flow pushes alongside hours worked.
To resolve this, create a custom Rate field in Netchex that uses a custom, unique pay code – a short identifier that tells each system which type of pay a value belongs to. This allows Inn-Flow to inject the correct rate through the integration.
Step 1: Create a Custom Rate Field in Netchex
1. Ask the Netchex team – or use the Netchex admin interface if you have access – to create a custom Rate field.
2. Assign the new rate field a custom Pay Code that is not already in use, such as RREG (Regular) or ROVRT (Overtime).
Step 2: Update the Pay Code Mapping in Inn-Flow
1. In Inn-Flow, open the Payroll Processor page.
2. Select the correct Payroll Format (Netchex) for each property.
3. Under Pay Code Mapping, enter the custom pay code from Netchex in the matching field – for example, Regular to RREG, Overtime to ROVRT.
4. Click Save.
Step 3: Re-Export and Verify
1. Return to the Payroll Export screen in Inn-Flow.
2. Re-export the payroll data to Netchex. This pushes rate values into the custom rate fields.
3. In Netchex, open the Payroll Grid and confirm that both hours AND rates now appear for each employee.
IF PRO TIP: Always make sure the pay codes in Inn-Flow exactly match the custom rate codes created in Netchex – an exact match is what lets rate data flow through.
