The Labor Overview page shows everything that needs your attention for labor management in one place. Only buttons requiring action are displayed — the fewer items you see, the better. Items that may require review include Days to Approve, Smile ID Failures, Room Assignments, Housekeeping Approvals, Payroll Export, Overtime at Risk, and Time Off Requests.
Days to Approve
This shows how many prior days are still pending approval. Approving a day locks down all shifts for that day as final, and every day in a pay cycle must be approved before that payroll can be exported. Two columns must be reviewed before a day can be approved: auto punch outs and over budget departments.
Auto punch outs: Click the icon to open the day that requires attention, then update the actual out time to correct the auto punch out.
Over budget departments: Click the icon to the left of the date to open the day, then open each department to provide an explanation for the variance. You can drill into a department to see the breakdown by position.
You can provide an explanation in either of two ways:
Select the checkbox for the department, enter a single explanation, and select Approve.
Select Approve per position and enter an explanation for each position individually.
Departments that were under budget don't require any action — they're shown for reference only. Click Close to move on to the next day that requires attention.
Smile ID Failures
Click the Smile ID Failures icon, then go through each highlighted punch, marking whether it was in fact the employee, and move on to the next one.
Room Assignments
This page monitors housekeeping schedules per day and should be completed each morning. It shows every housekeeper scheduled for the day, how many rooms each is projected to clean, and their projected total time based on your established budget settings.
Enter the departures and stayovers for the day.
Click Continue. An alert will confirm the update — selecting Continue automatically adjusts each housekeeper's schedule based on the number of rooms that need to be cleaned.
A notification with the updated estimated punch-out time is sent to each affected employee once you confirm.
For example, if someone was scheduled from 8:00 AM to 4:00 PM, but the room assignments show they only need to work until 2:30 PM, their schedule updates automatically and they're notified of the new estimated punch-out time.
Housekeeping Approvals
This shows how many days haven't yet been updated to reflect the actual rooms cleaned per housekeeper.
Click on the day to open the drop-down showing the housekeepers scheduled that day.
Enter the number of rooms cleaned per service level (departure, stayover, denied). The total calculates on the right, along with the total budgeted time for rooms cleaned.
Click Continue once all rooms have been entered.
Any discrepancy between rooms cleaned and rooms occupied is shown automatically - for example, if 18 rooms were occupied but only 16 are accounted for between denied and cleaned, a difference of 2 will display. You can click Back to update the prior page, or add an explanation and click Submit. If any employee's actual time is over budget, an explanation is required. Once all updates are made, approve the day to return to the Labor Overview page.
Payroll Export
You should only ever have one payroll to export at a time — the previous payroll cycle. Access the payroll page from the button at the top of Labor Overview, or from Payroll in the left navigation menu.
The payroll page is the final step of the payroll process. It shows the pay period, total hours, and overtime hours at the top. For each employee, it shows their name, whether they're salaried or hourly, their employee code, rooms cleaned, and hours worked. The columns shown can be customized from the Settings > Payroll page. For employees working multiple positions, their name, positions, and hours worked for each will show accordingly.
Click an employee's name to add additional pay or wages (this page is also customizable from Settings > Payroll Processor). Tips can also be added at the bottom of this page if they weren't already entered from the Tip Entry page — be sure to save once updates are made.
When everything is ready, select Export Payroll in the top right. This finalizes payroll and emails the file to the user set up to receive it.
Overtime at Risk
This accounts for all previous shifts plus the future schedule. Selecting Overtime at Risk takes you directly to the review screen, where you can:
Accept the risk
View the timesheet or position schedule
Reassign the shift — selecting Reassign shows a list of employees with their availability for an easy update
Time Off Requests
This icon appears when a new or pending time off request has been entered. Selecting it lets you review, approve, or deny the request.
