Inn-Flow lets you export payroll data in a variety of provider-specific formats (for example, ADP, Paymaster, or Paychex), so your file is ready to upload without any additional formatting. This article walks you through selecting an export format, mapping your pay codes, and generating a file tailored to your payroll provider.
Step 1: Select the Payroll Export Format
Navigate to Labor Management, then Payroll Processor.
Locate the hotel(s) you are configuring and find the Payroll Export Format column.
From the Payroll Export Format dropdown, choose your provider format (for example, Paymaster, Netchex, or Paychex).
Your changes save automatically.
The selected export format determines which columns and formatting are used when you export payroll data. |
Step 2: Map Export Codes to Inn-Flow Pay Codes
After selecting an export format, tell Inn-Flow how your internal pay codes translate to the codes your provider expects. A pay code is a label for a type of pay (for example, Regular, Overtime, Bonus, or Tips).
Navigate to Labor Management, then Payroll Processor, then Payroll Export Code Mapping.
Select the matching export format from the top of the page.
Map each internal pay code (Regular, Overtime, Bonus, Tips, and so on) to the provider's required export code.
Only pay types that are mapped will appear in the export. Unmapped items are excluded or may trigger validation errors, depending on the provider. |
Step 3: Export Payroll
Navigate to Labor Management, then Payroll Page.
Select your desired pay period and click Export.
The export generates a file (.xls or .csv, depending on the format) using the selected structure.
Notes and Best Practices
Map every required pay code before exporting. If a code like REG (Regular) or OT (Overtime) is missing, that pay data will not be included in the file.
Match your provider's required headers and format. If you are unsure, check with your payroll provider or review any documentation they have provided.
Populate employee identifiers. If your provider imports by Employee ID or SSN, make sure that data is filled in on each employee's user profile.
If you are not sure how to set this up or which format to use, contact Inn-Flow Support or your payroll provider.
