Automatic Break Reductions

Automatic break reductions let Inn-Flow deduct or adjust employee breaks on actual time automatically, based on your company's policy, instead of requiring a manual clock-out and clock-in for every break.

Setting Up the Enterprise-Wide Policy

The first step is setting your company-wide break policy:

1. Go to Labor Management > Settings > Enterprise Wide.

2. Click on the Shift tab, locate, and turn on Automatic Break Reduction.

Turning this on reveals three additional settings:

  • Break length — the length of the break to apply

  • Shift threshold — which shifts this applies to (for example, shifts over 6 hours or over 8 hours), set according to your company's policy

  • Auto true-up — if turned on, a shorter break an employee actually takes (such as 20 minutes) is automatically updated to the break length set above

Applying the Setting by Position

Not all positions may require automatic break reductions, so the next step is choosing which positions it applies to:

1. Go to Labor Management > Settings > Department and Positions.

2. Select the Positions tab.

This screen lists each position along with its associated department and chart of account. Three columns control behavior per position:

  • Automatically Schedule breaks — deducts breaks from the employee's schedule for that position

  • Auto True-Up breaks for actual time — turns on automatic break reduction (and auto true-up) for that position. For example, if a housekeeper doesn't clock out during a shift, a break is deducted automatically, and a shorter break taken is updated to the enterprise-set length

  • Missed Punch-out alerts — notifies managers of missed punch-outs for that position, also controlled by the Enterprise Wide Settings.

Seeing It in Action

Here's how the setting behaves on an actual shift:

1. Add a shift from Time Sheets, fill out the information, and select Add Entry.

2. The shift shows the full 8-hour shift with its in and out times and the 30-minute manual break already applied.

3. If the employee didn't actually take a break, remove it using the option shown on the entry — the shift total then updates from 7.5 hours to 8 hours.

IF PRO TIP: Making this change will affect all shifts, per positions activated, that occur after this is turned on. For example, if you turn this on on a Tuesday, all shifts prior to this will not show a break. If you manually add a shift for a prior day, the break will show.
