The Enterprise-Wide Labor Settings page controls labor defaults that apply to every property on your account. Any change you make here updates all entities' settings at once, so review changes carefully before saving.
The page is divided into two tabs: General and Shift.
General Tab
Salaried employees are always paid their standard 80 hours per pay period, unless Unpaid Time Off hours are added.
If your salaried employees clock in and out, turn on the setting below so their worked hours are included when comparing actual labor to budget.
If you have employees set up as Exclude from Payroll in User Management whose hours you still want counted in system totals, turn on the setting below. When it is on, these employees' hours are included in the departmental totals shown on the Performance page.
The Labor Management system can track Performance Reviews for employees inside their User Management profiles. Use this setting to turn Performance Review tracking on or off.
The % Variance Highlighting Threshold sets the percentage over budget at which a variance is highlighted, making overages easier to spot.
Holiday Shift Attribution lets you select which overnight position is awarded holiday hours. The article How are holiday hours applied to overnight shifts? covers this in more detail.
Payroll Administrators are the users notified when payroll is imported.
Explanation Limits let you decide the threshold on Approvals, so that you aren't required to explain minor discrepancies, but also do not miss any important Approvals.
Shift Tab
The Shift tab controls how the time clock handles clock-ins, clock-outs, and scheduled shifts.
The first setting determines whether users can clock in before their scheduled shift start time. If it is off, users cannot punch in until their exact start time. If it is on, you can customize how many minutes early they are allowed to clock in.
Keep Auto Punch-Out turned on. If it is off and a user forgets to clock out, they will keep showing as punched in until they physically punch out on the time clock.
A best practice is to set Auto Punch-Out to 3 hours. This means a user has 3 hours after their scheduled-out time to clock out. For example, Bob is scheduled from 7:00am to 3:00pm and forgets to punch out. With the setting at 3 hours, at 6:00pm he is automatically punched out at 3:00pm – the time he was scheduled to leave. Bob is not paid the extra 3 hours, and the shift is flagged as an APO (auto punch-out) on the Performance page.
Managers must correct APOs (auto punch-outs) before submitting payroll. |
Optimize MPCR Shift adjusts housekeeping shift end times based on the actual room workload. When you create the initial housekeeping schedule, it is usually a fixed shift – for example, 8:30am to 4:30pm. As occupancy changes, that full shift may not be needed.
With this setting on, the housekeeping shift updates in the morning once Room Assignments are completed. After the housekeeping boards are done on property, log into Inn-Flow, open Labor Overview, and select Room Assignments. Enter how many rooms each housekeeper is scheduled to clean. If a housekeeper has 6 check-outs and 7 stayovers, they may only need to work until 1:30pm instead of the full 8-hour shift. The system then updates the scheduled shift-out time automatically and notifies the housekeeper of the change.
There is also a setting for Automatic Break Reduction, which deducts a set break time from the scheduled hours. Note that Automatic Break Reduction applies only to scheduled hours – if a user does not punch out for their break, the time is not automatically deducted from their actual time. For example, someone scheduled from 7:00am to 3:00pm will show 7.5 hours on the schedule rather than the full 8.
To apply break reduction to actual times, turn on the Auto True Up option. Then navigate to the Departments & Positions page, open the Positions tab, and activate it per position. See the Actual Break Reduction article for more information.
