The Unapprove tab lets a manager or supervisor re-open a day that has already been approved on the Labor Overview page. On the Labor Overview screen you must approve each day before you can export payroll – so if you approve a day and then realize you need to make changes, the Unapprove tab is how you release it for editing.
Permissions That Control Access
Whether you can edit an approved day depends on your permissions. In Settings, then Roles & Permissions, under Labor Management, there are several permission types related to this access.
Manage Unapproved Actuals – lets you make changes in Performance or Timesheets as long as the day has not been approved yet.
Manage Approved Actuals – lets you go directly into Performance or Timesheets and make changes even if the day is approved.
Manage & Re-Export Actuals – lets you make changes to a prior payroll that has already been exported. Assign this sparingly, as it allows changes to punches even after payroll has processed; it should go to an Owner or Human Resources manager.
Create Adjustment of Exported Actuals – lets a manager create an adjustment on a payroll that has already been exported (for example, when an employee disputes a shift). The adjustment is added to the more current pay cycle and, because it is an adjustment, it does not affect overtime.
If a day has been approved but time is later edited, that day reappears in Labor Overview to be re-approved. |
Unapprove a Department or Day
When a manager needs to unapprove departments, they can do so from the Unapprove tab on the left.
A department with a checked box has been approved. If you uncheck it, you will be prompted to save your changes. You can unapprove multiple departments and days at once. When all changes are done, select Save.
This releases those departments so that changes can be made from the Performance or Timesheets tabs for those associates' shifts in the applicable departments. Once the changes have been completed, the Day will need to be re-approved from the Overview page.
