Employees must be scheduled before they can clock in, which makes the Schedule page central to labor management. The first step for any schedule is making sure the Forecast is complete.
Set the forecast within Schedule
If no forecast is set, a warning message appears at the top of the page.
To fix this, click the Set Forecast link on the right.
IF PRO TIP: From here you can set the forecast and create the schedule in just a few clicks. |
Copy a previous schedule
To import a schedule and set a forecast at the same time, select the Import From drop-down to copy from a previous week.
Select the time frame you want to copy from. Once the week is highlighted, select Copy Schedule to copy the employees and shifts from that week.
You can copy one or more departments – select them one at a time or click Select All at the bottom of the drop-down.
By default all users are copied, but you must choose which week's schedule to copy – last week or two weeks ago – and the same for the shifts. If copying last week's users and shifts, you can either copy the shift assignments or leave those shifts unassigned.
IF PRO TIP: Copying the users, shifts, and shift assignments together recreates last week's exact schedule. |
The result shows the Actuals copied into the Forecast, along with the copied users, shifts, and shift assignments.
Assign shifts
Copying the users and shifts but clearing Shift Assignments places all of last week's shifts at the top under Unassigned. Drag an unassigned shift down to the user who should have it.
Click an unassigned shift to Add another shift, Edit the highlighted shift, or Assign it to someone's schedule.
Bulk Select is another useful tool. Select multiple shifts at once, then choose Assign at the bottom of the page to schedule them quickly.
When assigning, scroll through the employee names or use the Search function to save time.
As you add shifts, they appear in light orange – these are "unpublished" shifts. They are active but haven't been published yet. Publishing alerts users that the schedule is complete.
View options
You can change the view and sorting of the schedule. Sort alphabetically or show users with Overtime at the top.
You can also view All Users, or just a specific Department or Position. If Department is selected, the page shows all departments you have access to, and you can open each to view the schedule by position.
Whichever view you prefer – by User, Department, or Position – you can set it as your Default View. Use the Settings option at the top right and select Save as Default View for the next time you open the page.
Add time off and shifts
To add a time off shift, select Add Time Off Shift at the top right.
In the pop-up, select a user, then choose the Type of PTO. Depending on your PTO types you may see PTO, Vacation, Sick, and others. There is always a Do Not Schedule option, which doesn't draw from any PTO bank – it simply flags that the user can't work that day. For example, if a Front Desk Agent has a doctor's appointment, add a Do Not Schedule shift for that day.
Once the details are added, add additional days or times, or select Add Time Off to add it to the schedule.
To add a specific shift – for example, for a new hire or a shift that wasn't copied over – select Add Shift. In the pop-up, choose the Department, Position, Date, and a Start and End Time, then add the shift to one or more users. If a user already has a conflicting shift, their row shows it accordingly.
Publish changes
As you make changes, all shifts remain active scheduled shifts. Select Publish Changes so employees who have signed up for automatic notifications receive a text message or email.
You can also select Print Schedule to print the schedule and publish it at the same time.
