The Performance feature shows how your property is doing overall, week by week, within a pay period. Visit it often to see how the current week is progressing.
Department and Employee views
Performance offers two ways to view data – Department and Employee.
Department – see hours compared to budget or to schedule.
Employee – view the times per day for each employee.
Settings and display options
There are several ways to view information in Performance.
Search – find a specific person or department, depending on the tab you're in.
Weekly / Bi-Weekly – view the page by your payroll cycle. If Bi-Weekly is selected, use the arrow to scroll between the two weeks.
Date navigation – click the arrows on either side of the dates to change the time period, or select the middle date to switch between months.
Sorting – positions with the higher Actuals or Budget appear at the top, depending on your preference.
Comparison – in the Department tab you view Actuals compared to Budget (since you budget by position); in the Employee tab you view each person's hours compared to their Schedule.
Highlighting – choose whether to highlight variances of 0--10% or 10% and above.
Reading the Performance page
The page shows the Actual hours and minutes per department and position, compared to either the budget or the schedule. For example, on Friday the actual hours were 8 where the budget was 5 hours and 8 minutes.
Within a single row, indicator dots flag when there was a manual entry, an APO, a No Show, or a shift added on the fly (OTF). Hover your mouse over any dot – you don't need to click – and an explanation appears.
Red dot – a No Show.
Orange dot – an Auto Punch Out (APO).
Blue dot – a manual shift, or a shift added on the fly.
Manual entry – a full shift that had to be added.
APO (Auto Punch Out) – when a user is scheduled for a shift but forgets to punch out within the allotted time. Every APO requires an explanation.
No Show – when someone is scheduled but doesn't show, or doesn't punch, during that shift.
Any Smile ID punch edited after capture carries a distinct indicator, added to the legend with its own label, so you can spot overridden facial-recognition punches while reviewing time rather than by opening each punch.
IF PRO TIP: Since Auto Punch Outs are part of the Labor Overview notifications, they should be approved from the Labor Overview page. |
Drilling into details and editing shifts
Click the arrow to the left of a department to show the times per position.
Click an actual time (for example, 8 hours) to view the details that make up that amount. This shows all employees for that position that day.
Click one person to drill down further – you'll see their totals at the top, along with the schedule and the actual time for that shift.
If payroll hasn't been exported yet, you can edit the In and Out times.
To add a shift for that day, select Add Entry, then enter the punch in and out times and an explanation, and select Add Entry again.
Select Employee Details to view all information for that person on that day – for example, if they worked two positions in two departments. Change the date using the arrows or by clicking the date to open a calendar.
Select the triple-dot menu (...) to add a split shift, change the position, or delete the entry if it was a manual punch. You can also enter a Break – fill in the break details and an explanation, then Save.
Using the breadcrumbs
The breadcrumbs at the top of the page are interactive. Click a Department or Position to see what makes it up when multiple are used, or click one to see everyone who worked in that department or position that day.
IF PRO TIP: Throughout Inn-Flow you have multiple ways to view labor management information. Be sure to save your Default View everywhere to what works best for you. |
