The Daily GM Approvals and Daily Labor Approvals cards on the Labor Overview page show how many prior days are still pending approval. Approving a day locks down all shifts for that day – once approved, the day is final. Every day in a pay cycle must be approved before you can export that payroll.
Daily Labor Approval vs. Daily GM Approval
In Labor Overview you will see two tabs – Daily Labor Approvals and Daily GM Approvals – that serve different roles:
Daily Labor Approvals – used by department managers to approve the hours for their own department. This is the same Days to Approve view that appeared previously, showing Auto Punch-Outs (APOs) and Over & Under Budget by department.
Daily GM Approvals – used by the General Manager to approve hours across all departments. It combines the department approvals (APOs, over- and under-budget departments) with Housekeeping metrics and a final Review page.
If only the GM approves the hours per department each day, you only need to use Daily GM Approvals. Use the Alert Preference Settings to adjust the Daily Labor Approvals alert if needed. |
Review and approve a day
Two items must be reviewed before you can approve a day – Auto Punch-Outs and Over Budget Departments. Click the Review button next to a day to expand it.
Auto Punch-Outs – Edit the Actual Out time for each auto-punched shift, enter an explanation, then click Approve. (An Auto Punch-Out, or APO, is a shift the system closed automatically because the employee never clocked out.)
2. Over / Under Budget Departments – Review each department that is over or under budget and add a Note explaining the variance. Click Approve and continue to the next step.
3. Housekeeping – Complete this step on the Housekeeping page (see the Housekeeping Approvals article). These metrics appear in the Daily Approval for visibility only; no action is needed here.
Daily GM Check-In review
The Departments tab on the Daily GM Approval offers more metric comparisons – Hours, Wages, CPOR (cost per occupied room), Occupied Rooms, and Occupancy %.
The Housekeeping tab reflects the information completed on the Housekeeping Approvals card. These metrics are for visibility only; no action is needed.
The Review tab is the final step of the Daily GM Check-In. The first box shows how you have been trending, the second shows Today's Totals, and the last shows Week to Date. Under each section is a text box to explain any over-budget amounts for the day and how you will improve for the week. Click Submit Check In once all explanations have been entered.
