Netchex: Troubleshooting the Integration with Inn-Flow

When integrating Inn-Flow with Netchex for payroll exports and user syncing, several configuration requirements must be set up correctly. Netchex is the payroll platform Inn-Flow connects to; a payroll export sends labor hours and rates from Inn-Flow to Netchex, while user sync keeps employee records aligned between the two systems. This article outlines the most frequent misconfigurations, the problems they cause, and how to resolve or prevent them.

Before you begin, read the Netchex Payroll Integration Overview for a list of key features and implementation steps. Then work through each requirement below.

Common Configuration Requirements

  1. Chart of Accounts (COA) must be unique and matched across systems. A Chart of Accounts is the list of financial account codes used to categorize transactions. COAs must be unique and match exactly between Inn-Flow and Netchex; duplicate or mismatched COAs cause payroll exports to fail. Validate that each COA code matches in both systems. See Netchex: How to Set Up Division Codes in Inn-Flow.

  2. SSNs must be unique and accurate. Every employee Social Security Number must be unique and correct in both systems. Invalid or duplicate SSNs break the link between Inn-Flow and Netchex, preventing payroll export and time allocation. Audit SSNs regularly using Inn-Flow reports. See Netchex: Ensuring Unique and Accurate SSNs.

  3. Employees must have SSNs to sync to Netchex. Inn-Flow requires an SSN in the user profile before an employee can sync. Users without an SSN will not sync, so their hours cannot be mapped to a Netchex payroll ID. Confirm all hourly and salaried employees have accurate SSNs before running sync. See Netchex: Ensuring Unique and Accurate SSNs.

  4. Pay code mapping must be complete and accurate. A pay code identifies a type of pay (Regular, Overtime, PTO). Inn-Flow pay codes must map to the corresponding Netchex codes, or time and attendance data cannot export. On the Payroll Processor page, confirm each labor type (for example, REG, OT, PTO) is mapped to a Netchex pay code. See Netchex Payroll Integration Overview.

  5. Default rate fields may reject custom pay codes. Netchex's default rate fields (such as Regular Rate and OT Rate) may not accept pay codes sent from Inn-Flow, so rate dollars may not appear even when hours transfer. Create a custom Rate field in Netchex (for example, RREG), update the pay code mapping in Inn-Flow to match, then re-export and verify. See Netchex: Troubleshooting Missing Pay Rate After Payroll Export from Inn-Flow.

  6. Company ID must match in both systems. The Company ID links a property in Inn-Flow to its corresponding entity in Netchex. If it is missing or incorrect, user sync and time export fail. On the Entities page for each property, verify the Company ID field exactly matches the value provided by Netchex. See Netchex: Matching Company ID for Properties Between Inn-Flow and Netchex.

  7. Division codes must be set up in Inn-Flow. Division codes identify properties to Netchex. Incorrect or missing codes cause payroll processing errors. Follow the setup guide. See Netchex: How to Set Up Division Codes in Inn-Flow.

  8. Employee types and entity assignments must be correct. Employees assigned to the wrong entity or type may not appear correctly in Netchex or may be omitted from payroll exports. See Netchex: Managing Employee Entities and Employee Types.

  9. New user creation must follow the correct process. New employees set up incorrectly may not appear in Netchex or may not receive payroll. Follow the recommended procedure. See Netchex: Managing New User Creation.

  10. Test payroll sync before your payroll date. Test a single property ahead of time. Waiting until the day of payroll risks late payroll if the test fails. See Netchex: How to Test the Time & Attendance Integration From Inn-Flow.

  11. Import payroll back into Inn-Flow Accounting. Understand how to import Netchex payroll so your financial data is complete and accurate. See Netchex: How to Import Your Payroll Data from Netchex into Inn-Flow Accounting.
