To sync users between Inn-Flow and Netchex – an outside payroll and HR provider – each employee must have a unique, valid Social Security Number (SSN) in their user profile. The SSN is the primary identifier used to map employees across both systems. Missing, duplicate, or incorrect SSNs cause user sync to fail, which stops payroll and time data from flowing between Inn-Flow and Netchex.
Why It Matters
Inn-Flow requires a valid SSN to create and link employee records in Netchex.
If an SSN is missing, time and attendance cannot be exported because a Payroll ID – the unique Netchex identifier for an employee – cannot be assigned.
If an SSN is duplicated, only one record syncs properly; the others fail.
Without a successful sync, payroll data cannot be processed for the affected employees.
How to Avoid Sync Errors
Step 1: Audit your SSNs in Inn-Flow and Netchex
In Inn-Flow, navigate to Administration, then Users.
Use filters to identify users who are missing an SSN or may have duplicate SSNs.
Cross-reference these records with your employee data in Netchex.
Confirm each SSN is unique and matches between systems.
IF PRO TIP: Use the User Export Tool or Reporting to verify SSN accuracy before your first export. |
Step 2: Resolve duplicates
Each employee must have a distinct SSN.
If two users share the same SSN, only one will sync successfully – the other will not appear in Netchex or receive payroll data.
Step 3: Prevent future errors
Establish onboarding procedures that require accurate SSN entry.
Review and validate SSNs before creating new users in either system.
Coordinate with your Netchex representative during setup to confirm all SSNs are in place.
When onboarding a brand-new user, create them with a valid SSN in Netchex only - this automatically creates and syncs the user in Inn-Flow.
Final Check
Before exporting payroll:
Confirm that all users have SSNs in Inn-Flow.
Ensure each SSN is correct and unique.
Run a sync test or export preview to verify successful mappings.
