All PTO (paid time off) awards are applied only at the close of a pay period, regardless of the award type or the specific date tied to the award. This is true for both Vacation and Sick policies, and whether you use the Accrual or Lump Sum method.
This behavior applies to:
Vacation and Sick policies
Accrual-based PTO
Lump sum PTO (annual, anniversary, or specific date)
Why PTO Awards Occur Only at Pay Period Close
Inn-Flow calculates and applies PTO during payroll processing. Because payroll is evaluated and finalized at the end of each pay period, PTO awards are applied at that same time. The system does not apply PTO in the middle of a pay period – even if the award date falls mid-period. This ensures accurate accrual calculations, correct alignment with timekeeping and attendance data, and consistency for payroll exports and compliance.
Examples Using Real Dates
Anniversary-based lump sum. An employee receives 40 hours of Vacation PTO on their work anniversary of March 10, 2025. The pay period runs March 1-March 15, 2025. The award posts on March 15, not March 10, because the anniversary falls within the pay period and the award posts at pay period close.
Specific-date lump sum award. A Sick Time policy awards 24 hours every year on January 1, 2025. The pay period runs December 29, 2024-January 11, 2025. The award posts on January 11, not January 1 – even though January 1 is the effective date, the system waits until the pay period closes.
Accrual-based PTO. An employee earns 4 hours of Sick Time per pay period. The pay period runs April 1-April 14, 2025. The 4 hours are added to the balance on April 14, at pay period close.
Annual lump sum. An annual Vacation award of 80 hours occurs on July 1, 2025. The pay period runs June 29-July 12, 2025. The award posts on July 12, even though the annual award date is a fixed date.
Key Takeaways
PTO is never awarded mid-pay period.
The award date only determines which pay period the award belongs to.
The actual posting of the PTO always occurs at pay period close.
This applies universally across all PTO award methods and types.
