How to Download Payroll in the Current Export Format

You can download a previously exported payroll file using your current export format and code mappings. This is helpful when you have changed your mapping or payroll provider settings and want to regenerate the file for reference or re-upload – without triggering a new export.

When to use this feature

  • You want to regenerate a past payroll export using updated mappings.

  • You need to download payroll without triggering a re-export.

  • You are preparing files to manually upload to your payroll provider.

How to download payroll in the current format

  1. Navigate to Labor, then Payroll.

  2. Select a pay period that has already been exported.

  3. Click the triple-dot menu (three vertical dots) next to the exported payroll record.

  4. Select Download Payroll from the dropdown menu.

If this option is not visible, either the payroll has not yet been exported, or the hotel is using a direct payroll integration, which disables this option.

How it works

  • The file is generated in Excel (.xls) format.

  • It uses your hotel's currently selected export format and export code mappings, regardless of what was used during the original export.

  • This action does not trigger a re-export, send data to a provider, or modify any payroll history.

  • System validations and warnings (for example, unapproved days or overtime alerts) are bypassed – this is a clean, file-only download.

This feature is only available after payroll has been exported, and it is not available for hotels using an automated payroll provider integration such as Netchex or Paychex. Because it uses your current configuration, any export mappings or formats you changed since the original payroll will be reflected in the downloaded file.
